The Single Most Important Rule: Act Within 1 Hour

Orders placed on rdy2grosoilsystems.com enter our fulfillment queue almost immediately. To ensure we can stop processing before packaging and dispatch, cancellation requests must be submitted within 1 hour of order placement. Requests submitted after this window cannot be guaranteed, and orders that have already been handed to a shipping carrier cannot be cancelled. If your order has shipped, our Return & Refund Policy governs your options.

This preparation cannot always be reversed, and live organisms cannot be restocked once separated for packing. Rdy2Gro Soil Systems sells several distinct product categories, each with different cancellation eligibility based on the nature of the product, how quickly it must be prepared, and any applicable agricultural or regulatory requirements.

Organic Worm Castings

Worm castings are a living, biology-rich soil amendment. Once an order is placed, our team begins portioning and sealing the castings to preserve microbial viability during transit. Due to the perishable nature of this product and the labor involved in preparation, cancellations for worm castings orders are not accepted once fulfillment has begun, which typically happens within 1 to 2 hours of order confirmation. If you placed an order within the last 60 minutes and need to cancel, contact us immediately and we will assess whether preparation has started.

Live Worms

Live worms are living organisms regulated as agricultural products under federal and state law. Once a live worm order is confirmed, we begin the separation, measurement, and packaging process immediately, as live organisms are time-sensitive and cannot be held indefinitely. Live worm orders are strictly final sale. No cancellations are accepted under any circumstances after order confirmation because the organisms are immediately prepared for shipment and cannot be returned to general stock once separated.

Raised Garden Beds

Raised garden bed orders may be cancelled within 1 hour of placement, provided our warehouse team has not yet processed the item for dispatch. Garden bed products are large and require specific packaging. If your request reaches us before processing begins, we will cancel and issue a full refund. Requests received after processing has started will be evaluated case by case, and we cannot guarantee approval.

Planter orders may be cancelled within 1 hour of order placement if fulfillment has not yet begun. Planters vary in size, and larger items enter packing queues quickly. Contact us immediately after placing your order if you need to cancel. Cancellation is not possible once packing and labeling are complete.

Trellis orders follow the same 1-hour cancellation window as other non-perishable garden hardware items. If you need to cancel a trellis order, reach out as quickly as possible. Once the item has been pulled from inventory and is in packing, we cannot reverse the process.

Shade cloth orders may be cancelled within 1 hour of placement if the product has not yet been prepared for shipment. Shade cloths are fabric items that require measurement and folding for proper packaging. Contact us immediately if you need to make changes to a shade cloth order.

Tool sets, plant clips, and other small garden accessories may be cancelled within 1 hour of order placement. These items are typically fulfilled quickly, so early contact is essential. If the item has already been packaged, we cannot cancel the order.

Mixed Orders (Multiple Products)

If your order contains both perishable and non-perishable items, the most restrictive rule applies to the entire order. We cannot split a single order for partial cancellation. Live Worms & Organic Worm Castings: Special Handling Notice

Because we sell living agricultural products, it is important to understand why stricter cancellation rules apply to these specific items compared to standard retail goods.

Live Organisms Cannot Be Returned to Stock

Under U.S. federal agricultural regulations and the standards of state departments of agriculture (including FDACS in Florida, CDFA in California, AZDA in Arizona, and equivalent agencies in all states), live organisms and organic soil amendments that have been separated, packaged, or prepared for shipment cannot be repurposed, restocked, or returned. This is a regulatory and biological constraint, not a commercial preference.

Why Live Worm Orders Are Final

Live worms are weighed, sorted, and bedded for transit the moment an order is confirmed. Holding live organisms beyond this point compromises their health and viability. Returning live worms after separation introduces biosafety and regulatory concerns. For these reasons, all live worm sales are unconditionally final.

Why Worm Castings Are Restricted

Organic worm castings contain live microbial populations that degrade rapidly if packaging is disrupted. Once portioned and sealed, castings cannot be re-merged with bulk stock without compromising product integrity. This is why cancellations are not accepted after portioning begins, typically within 1 to 2 hours of order confirmation.

Temperature & Time Sensitivity

Both live worms and fresh worm castings are temperature-sensitive. Orders are timed to minimize exposure to extreme heat or cold during transit. This timing cannot be disrupted without affecting product quality, which is another reason why cancellations are not feasible once preparation has begun.

Carrier Handoff

Perishable orders are given priority for carrier pickup and are often handed to UPS, FedEx, or USPS within hours of order confirmation. Once a carrier has custody of the parcel, neither we nor the customer can intercept or cancel the shipment.

Arrived Damaged or Non-Viable? If your live worms or worm castings arrive in a condition that is clearly different from what was described — such as dead worms or a damaged, compromised package — please contact us within 48 hours of delivery with photos of the shipment and product. We assess each situation individually and, where the issue is related to shipping conditions or packaging failure, we will work with you on an appropriate remedy. How to Submit a Cancellation Request

There are three ways to submit a cancellation request. All methods are treated equally. We recommend contacting us by phone first if you are within the 1-hour window, as it provides the fastest response.

Option 1 — Call Us Immediately (Fastest)

Our team will check the fulfillment status of your order in real time and confirm whether cancellation is possible. This is the fastest method and recommended for orders placed within the last 30 minutes.

Option 2 — Email Us

Send an email to contact@rdy2grosoilsystems.com with the subject line "Order Cancellation Request." Include your full name, order number, and the reason for cancellation. We monitor this inbox during business hours and will respond as quickly as possible. Email is suitable if you are outside business hours, but please note that requests received outside business hours may not be acted on until the next business day, by which time fulfillment may have already occurred.

What Happens After You Contact Us

We will check the current fulfillment status of your order and confirm by email whether your cancellation request can be honored. If approved, we will immediately halt processing and issue a full refund to your original payment method. If we are unable to cancel because fulfillment has already begun or the order has shipped, we will explain exactly why and provide you with your available options, including the return process where applicable.

What Happens If Your Order Has Already Shipped

If your order has been picked up by UPS, FedEx, or USPS and a tracking number has been generated, the order is no longer cancellable. This applies to all product categories without exception.

Your Options Once an Order Has Shipped

Once a package is in the custody of a shipping carrier, we have no ability to recall or redirect it. Carrier intercept services are not reliable enough to guarantee retrieval. If you no longer want the order, you have two options: (1) refuse the delivery when the carrier attempts it, at which point the package should be returned to us and we will process a refund minus the cost of return shipping; or (2) accept the delivery and initiate a return per our Return & Refund Policy. Note that perishable items (live worms and worm castings) are not eligible for return under any circumstances.

Refunds Issued After Approved Cancellations

When a cancellation is approved before an order enters fulfillment, we issue a complete refund with no deductions. Here is exactly what that process looks like.

As soon as your cancellation is approved, you will receive an email confirming that your order has been cancelled and that a refund has been initiated. This email will include your order number, the amount being refunded, and the payment method to which the refund will be returned.

Refund to Original Payment Method

Refunds are returned to the same payment method used at checkout — credit card, debit card, or any other payment method processed through Shopify Payments. We do not issue refunds to a different card or account than the one used for the original transaction. If you paid with a prepaid card that is no longer active, contact us so we can arrange an alternative.

Processing Time: 5 to 10 Business Days

We initiate the refund on our end within 1 business day of approving the cancellation. After that, your bank or card issuer controls the timeline for crediting the funds to your account. Most U.S. banks process refunds within 5 to 10 business days. Some institutions may take up to 15 business days during high-volume periods.

Full Refund — No Restocking Fee for Cancellations

Cancellations approved before fulfillment begins are refunded in full. There is no cancellation fee, processing fee, or restocking fee deducted from pre-fulfillment cancellations. The full amount you paid, including any applicable taxes, will be returned.

Refund Confirmation
